Administrative Assistant Interview Questions & How to Answer Them
8 questions you're likely to get for an administrative assistant role, with a tip on what actually makes a strong answer.
Question 1
How do you prioritize competing requests from multiple executives?
Describe a concrete triage method, not just "I stay organized."
Question 2
Tell me about a time you handled a scheduling conflict under pressure.
Walk through the specific resolution, showing calm judgment.
Question 3
How do you handle confidential information?
Give a concrete example of discretion in practice, not just a general statement.
Question 4
What tools do you use to stay organized?
Name the actual systems - calendar tools, task trackers - and how you use them day to day.
Question 5
How do you handle an interruption when you're in the middle of an urgent task?
Explain how you triage: acknowledge the person, decide whether it is truly more urgent, and tell them when you can get to it. It shows judgement under pressure.
Question 6
How do you handle a request you can't finish by the deadline?
Show that you raise it early, explain what is in the way, and offer options or a new date. Staying quiet until the deadline passes is the answer to avoid.
Question 7
Tell me about a time you had to learn a new tool quickly to get something done.
Pick a real tool, say how you learned it (help pages, a colleague, trial and error) and what you produced. Bonus: how you then helped others use it.
Question 8
Walk me through how you plan and run a meeting or event from start to finish.
Go through the checklist: purpose, attendees, venue or link, materials, catering, follow-up. Include one thing that went wrong and how you fixed it on the day.
